Short answer: Microsoft Teams shows you as Busy in a meeting, not Do Not Disturb, and Microsoft’s documentation doesn’t describe a setting that changes it. Busy keeps notifications on. To get Do Not Disturb for the length of each meeting, set it by hand each time or let Don’t Interrupt ask Teams to switch to it from your calendar.

What Teams does in a meeting

Teams works out your presence from what you are doing and from your Outlook calendar. During a meeting that is Busy or In a meeting. Microsoft’s presence documentation says Busy still lets notifications through, while Do Not Disturb stops the banners, sends calls to voicemail, and lets only people on your priority access list through.

So the status you see in a meeting is not the quiet one. To get Do Not Disturb you choose it yourself, and Microsoft’s presence pages describe choosing a duration for it by hand (Do Not Disturb defaults to one day if you don’t pick one). They don’t describe a way to tie it to your calendar.

Two things to know if your calendar is Google rather than Outlook:

  • Microsoft’s presence documentation names Outlook and doesn’t say Teams reads a Google Calendar. The Google Workspace sync in the Teams admin app is being retired in October 2026, and Microsoft doesn’t describe it as a presence feature. See Google Calendar to Microsoft Teams status.
  • A manual presence is easy to forget. Set Do Not Disturb at 9am and it carries on until its duration ends, not until the meeting does.

Make Teams show Do Not Disturb during meetings

Step 1: Sign up with Microsoft Teams

Choose Sign up FREE with Teams and sign in with your work or school Microsoft account. Don’t Interrupt asks for permission to read and set your own Teams presence. Microsoft lists that permission as not needing admin approval, but a company can still choose to block apps.

Step 2: Add your calendar

Add Outlook, Google Calendar, Zoom or an iCal link from the dashboard. Your calendar and your Teams account are separate connections, so the calendar doesn’t have to be Microsoft’s.

Step 3: Switch on Do Not Disturb for meetings

In the calendar’s Event/Meeting settings, switch on Do Not Disturb. For each meeting Don’t Interrupt asks Teams to switch your presence to Do Not Disturb until the meeting ends (rounded up to five minutes), which replaces the Busy that Teams would show. Add a Status message if you like, such as “In a meeting”.

Step 4: Choose which kinds of event count

Do Not Disturb can be set separately for public events, private events, focus time and out of office. A quick catch-up and a focus block don’t have to behave the same.

Things to check

  • You must be signed in to Teams. Microsoft applies a preferred presence only while you have a Teams session. If you’re signed out you show as offline whatever a tool asks for.
  • Do Not Disturb isn’t total. People on your priority access list can still reach you.
  • It takes up to five minutes. Timing is rounded to five-minute boundaries, and a meeting that starts at 10:02 is treated as starting at 10:05.
  • Don’t use Appear offline for quiet. Microsoft says you still receive notifications while appearing offline, and when Offline and Do Not Disturb are both switched on, Don’t Interrupt sends Offline.

Frequently asked questions

Why does Teams show Busy instead of Do Not Disturb in a meeting?

Teams sets your presence from your Outlook calendar and your activity, and a meeting gives Busy. Microsoft’s documentation doesn’t describe a setting that makes meetings use Do Not Disturb.

What is the difference between Busy and Do Not Disturb?

Busy keeps notifications on. Do Not Disturb hides banners and sends calls to voicemail, except for people on your priority access list.

Does it work with a Google Calendar?

Yes. Don’t Interrupt reads Google, Outlook and iCal calendars and Zoom meetings, then sets Teams presence for you.

Will my status go back after the meeting?

Yes. When the meeting ends Don’t Interrupt puts your presence and status message back, usually within about five minutes.

Does it need my IT admin?

For Teams, Microsoft lists the permission as not needing admin consent, though your company may block apps. For an Outlook calendar, many companies now need an admin to approve access, and an iCal link is the fallback.
